What Ella stores and reads
Your Brain and documents
Your account, current business facts, source references and change history are stored in Supabase. Uploaded documents are private evidence. Selected Google Drive documents follow the same upload and review process; Ella does not mirror your Drive. New file suggestions do not change your Brain until you approve them.
Email and connected tools
With your permission, Ella uses Composio to access the specific connected accounts you choose. Relevant email text and business context may be sent to Anthropic to prepare drafts or suggest your writing voice. Inbound threads, calendar events and financial records are not copied into the Brain. Draft replies, their review state and minimal send evidence are stored to support approval and prevent duplicate sends.
Sending permission is separate from read access. Each email still needs your approval. Completed email work older than 30 days is eligible for cleanup; pending replies and unresolved send attempts are retained until resolved. Disconnecting a tool stops future use but does not erase the Brain or its history.
Other AI tools
An AI app you approve can read your current Brain, not your private uploads, inbox or connected financial records. It cannot edit the Brain through that connection. You can remove its access in Connections. Information already shared with another AI service is also subject to that service’s terms and retention settings.
Sign-in, measurement and support
Vercel hosts the product and measures page use and fixed product milestones. We do not add business facts, email content or document names to those events. Resend delivers sign-in and configured product emails. If you opt into Daily Brief email, Resend and your mailbox provider also process the full proposed replies, reply addresses and task details included in that email. Ella retains which tasks were included and their completion outcomes so it can send one completion summary. These providers process data to supply their respective services; this is not a promise of zero retention or a verified hosting region.
You can download your current Brain. To request help, correction or account deletion, contact hello@optimizelabs.ai. We verify the account before acting. Please do not send passwords, sign-in links or private customer records in a support email.
Google user data
Ella and the Brain’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Ella reads your Google account’s own and verified “Send mail as” addresses so you can choose which to watch, and reads Gmail to find customer messages to the addresses you choose to watch, to learn your writing style from replies you have sent, and to prepare replies for your approval. It sends email only when you approve a specific reply. Google user data is used only for these features you can see in Ella.
Gmail content is shared only with Composio (to connect your account), Anthropic (to prepare drafts) and, if you choose Daily Brief email, Resend. It is not shared with anyone else, not sold, not used for advertising, not used to train generalized AI models and not read by people, except with your permission for a specific support request, where needed for security or to comply with the law.
Who is responsible and your rights
